Terms of Service

These terms set the rules for using Easy Invoice and clarify the responsibilities that remain with each account and ledger owner.

Using Easy Invoice

These terms govern your access to and use of Easy Invoice. By creating an account or using the service, you agree to these terms and the Privacy Policy. You must be legally able to enter this agreement and use the service only for lawful business purposes.

Accounts and ledger access

  • You are responsible for accurate account information, secure credentials, and activity performed through your account.
  • Ledger owners control business settings and access. You must not access a ledger, mailbox, contact, or record unless you are authorised to do so.
  • You must promptly notify us if you believe an account or connected service has been compromised.

Your records and responsibilities

You retain responsibility for the business information and documents you enter, import, generate, approve, file, or send. You must verify customer details, invoice amounts, bank coding, GST treatment, payroll inputs, reports, filing outputs, and payment instructions before relying on them.

Easy Invoice provides software tools and is not your accountant, tax agent, lawyer, payroll adviser, bank, or filing agent. The service does not replace professional advice or your obligations to Inland Revenue, employees, customers, suppliers, or other authorities.

Connected email services

If you connect Google or Microsoft email, you authorise Easy Invoice to use the granted permission to send messages you direct the service to send. You are responsible for recipients, content, attachments, consent, anti-spam compliance, and maintaining access to the connected mailbox. You may disconnect the mailbox through Settings and may revoke access with the provider.

Plans, trials, and payment

Features and limits depend on the selected plan and any active trial or promotional access. Current prices and included features are shown on the Pricing page. Paid subscriptions are billed through our payment provider and continue until cancelled in accordance with the subscription settings presented in the service. Taxes may apply.

Acceptable use

  • Do not use the service for unlawful, fraudulent, deceptive, abusive, infringing, or unsolicited bulk-email activity.
  • Do not bypass access controls, interfere with service operation, test security without written permission, or use another person's credentials or connected mailbox without authority.
  • Do not upload malicious code or content that violates privacy, confidentiality, intellectual-property, employment, tax, or other legal obligations.

Availability and changes

We aim to provide a reliable service but do not guarantee uninterrupted or error-free availability. Features may depend on third-party platforms, including Supabase, Vercel, Stripe, email providers, and government systems. We may maintain, change, suspend, or retire features where reasonably necessary, and will seek to provide appropriate notice for material changes.

Intellectual property

You retain rights in the data and content you provide. You grant Easy Invoice the limited rights needed to host, process, reproduce, and transmit that content solely to operate, secure, and support the service. Easy Invoice and its software, branding, documentation, and original content remain protected by applicable intellectual-property laws.

Suspension and termination

You may stop using the service and may cancel a paid subscription through the available subscription controls. We may restrict or suspend access where reasonably necessary to address non-payment, security risk, unlawful use, material breach, or harm to the service or others. Data handling after termination follows the Privacy Policy and applicable record-retention requirements.

Liability

To the maximum extent permitted by law, Easy Invoice is provided without warranties beyond those that cannot lawfully be excluded. We are not responsible for losses caused by inaccurate user inputs, unauthorised account use, third-party service failures, missed filing or payment deadlines, or decisions made without appropriate review. Nothing in these terms excludes rights or liabilities that cannot be excluded under New Zealand law.

Governing law and changes

These terms are governed by New Zealand law. We may update them when the service or legal requirements change. The effective date above identifies the current version, and material changes will be communicated through the service or another appropriate channel.
